  • Learning About PolicyTech

    What is PolicyTech?

    PolicyTech is a software program used by Bethany to manage policy documents, including policies, procedures, guidelines, and forms.

    Whether you need to review the steps of a clinical procedure or are interested in a Bethany Human Resources policy, all of these documents are easily accessible on PolicyTech.

    Sometimes you will be asked to read certain documents and answer a questionnaire to confirm your understanding of a policy or procedure. If you receive email notifications from PolicyTech asking you to read a document, please do so in a timely manner.

    PolicyTech allows you to search for documents quickly through a powerful search option. Documents will also contain links to related policies, procedures and forms.

    Getting Started

    Please complete the following tasks to get started with PolicyTech (10-15 minutes):

    • Watch the PolicyTech video for readers;
    • Access PolicyTech and change your default browser arrangement;
    • Complete the following assignments:
      • Read the IT Acceptable Use Policy.
      • Search for the Hand Hygiene Policy.
      • Find the Unusual Occurrence Form.

    2. Assignment: Access PolicyTech and change your default browser arrangement

    a) Go to PolicyTech: It can be accessed through BethanyConnect, Resources, then PolicyTech or www.bethanyseniors.policytech.com. PolicyTech is also available externally; one does not need to be on the Bethany network to be able to use it.

    Select the “My Profile” tab under your name on the top right hand corner of the screen. Once on the “My Profile” page, under the Default Browser Arrangement box, click on the down arrow and select “All Categories”, then click Save.3. Assignment: Completing the following tasks provides an overview of features you will use frequently in PolicyTech.

    a) Read the Information Technology Acceptable Use policy.

    • Click on “My Tasks” on the left hand side of the screen. This will show you all of your outstanding assignments in PolicyTech.
    • Now read the Information Technology Acceptable Use policy.
    • Once you have read the policy, mark as read.
    • A prompt will appear: “There is a questionnaire attached to this document” click on “Take Questionnaire” and complete the questionnaire.

    b) Find the following policy using the Document Search on the left hand side: Hand Hygiene.

    • Open Hand hygiene, read and mark as read.
    • Add policy to favorites.

    c) Find the following form using the Document Search on the left hand side: Unusual Occurrence.

    • Find and open the form – Unusual Occurrence Form.
    • Mark form as read.

    Each pay period Payroll will send links to your Bethany email. Click on them to view or print your payslip or T4.

    Course and Written Instructions

    In BethanyU, you can complete a short course on how to access your payslip from work and from home. Under the Resources/Repository section on the page, you will also find written instructions.

  • Project Shift

    Beginning this month, Operations, Human Resources, Payroll and Information Technology will start work on an 18 month project to introduce a new modern electronic and paperless scheduling and timekeeping system known as Kronos Workforce Central. We are calling this Project Shift

    • Instead of signing a paper attendance flow sheet each day, hourly employees will confirm their attendance via a Kronos InTouch device
    • Hourly employees will be able to access their work schedule from their phone or any computer
    • All employees will be able to submit time off requests electronically and are able to access bank time information from their phone or any computer
    • Based upon preferences, we will be able to contact hourly employees for relief shift opportunities by phone, email, or text


    When is this happening?

    We are piloting this new system at Bethany CollegeSide and Sylvan Lake next summer (2017) and then will begin rolling out the system at other Care Centre’s.

    Why we are changing?

    Our current scheduling and timekeeping system (ESP) was first introduced to Bethany over 20 years ago. With a new tool it will help us:

    • Schedule employees more efficiently, while continuing our commitment to pay employees accurately
    • Reduce or eliminate paper
    • Provide employees with real-time access to schedule and bank information
    • Provide managers with real-time access to review and approve overtime and employee time off requests
    • Offer new ways for employees and schedulers to communicate about available work opportunities
